They also address employee inquiries regarding paychecks and tax documents while ensuring year-end reporting including W-2 forms is completed accurately and timely.
Job Overview
We are seeking a detail-oriented Payroll Administrator to manage all aspects of payroll processing for our US-based workforce. The ideal candidate will ensure accurate and timely payroll execution while maintaining compliance with federal, state, and local regulations. This role requires strong analytical skills and expertise in payroll systems to handle complex calculations, tax filings, and employee compensation inquiries.
Payroll Administrator responsibilities include:
1. Process bi-weekly and semi-monthly payroll for 500+ employees across multiple states
2. Calculate and process wage payments, overtime, bonuses, commissions, and deductions accurately
3. Maintain and update employee payroll records in ADP Workforce Now system
4. Prepare and submit multi-state tax filings, including 941 forms, state withholding, and unemployment reports
5. Process wage garnishments, levies, and support orders in compliance with legal requirements
6. Reconcile payroll accounts and resolve discrepancies with accounting department
7. Administer 401(k) contributions, health insurance deductions, and other benefit-related payroll items
8. Generate custom reports for management including labor distribution, overtime analysis, and headcount reports
9. Respond to employee inquiries regarding paychecks, tax withholdings, and payroll policies within 24 hours
10. Implement and maintain payroll procedures and controls to ensure SOX compliance
1. 3+ years of multi-state payroll processing experience in US environment
2. Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC)
3. Expert knowledge of federal, state, and local payroll tax regulations
4. Proficiency with ADP Workforce Now or similar enterprise payroll system
5. Strong understanding of wage and hour laws including FLSA compliance
6. Experience processing garnishments, tax levies, and support orders
7. Advanced Excel skills including pivot tables, VLOOKUPs, and complex formulas
8. High school diploma or equivalent with payroll-specific education
Preferred Qualifications
1. Bachelor's degree in Accounting, Business Administration, or related field
2. Experience with payroll implementations or system conversions
3. Knowledge of international payroll processing requirements
4. Experience in healthcare, manufacturing, or retail industries with complex pay structures
5. Familiarity with Workday, Oracle HCM, or SAP SuccessFactors payroll modules
6. Background in accounting with understanding of general ledger and reconciliation processes
7. Experience with union payroll requirements and collective bargaining agreements
8. Multi-state payroll certification for California, New York, or Texas jurisdictions
